On March 6, I had a non-formal meeting with the governmental organs. I originally thought that's a small meeting, but it's a medium meeting in fact. Because this meeting included 3 governmental organs, 1 university and 4 companies, strictly speaking, it was a formal meeting. Actually, it's not an efficient meeting, but there were also some useful resolutions decided. What's the key point for an efficient meeting? Focus on what everyone wants to make the present progress.
Before I joined this meeting, I knew the target should confirm all of the design coefficients, procedures and standards. I wrote down all of the important and necessary content in the report, but the questioned direction was biased on the detail calculation parts. In fact, if my company used the wrong design coefficients, procedures or standards, the design result would be incorrect as everyone knows. Garbage in, garbage out. After the design coefficients, procedures and standards are confirmed, it's not late to check the calculations for all of the participant s. I didn't want to talk back, or the meeting would be longer than 3 hours.
All of the participants should know the present progress, so that they can discuss the necessary parts firstly. The direction has to be confirmed, especially which standard shall be used. However, my case is very special, because there are several laws, standards and principles in Taiwan. Many engineers do not know which one is suitable, so that the governmental organs have to make the decisions. The engineers can use the CPAMI website to search whether the land development is a urban land or not. If it's a urban land, you can use "Deliberation Standards of Agricultural District of Urban Planning Area" or the relative standards; if it's a non-urban land, you can use "Directions for Examination Operations of Non-urban Development". Actually, I think it's very hard to define whether a place is a urban land or not, so that the easiest method is to search the data by the CPAMI website.
And then, the planning is going to affect many variables. If necessary, the governmental organs have to negotiate with the people who live near the planning place. After the design coefficients and procedures have to be decided, the participants can check whether the calculations are correct or not. I suppose you follow the procedures, and you shall make an efficient meeting easily.
